Protect Yourself from Malware and Ransomware

Every day presents new challenges in the battle for digital security.  New viruses, worms, adware, malware, ransomware and other nasty files are released daily that compromise the safety and integrity of your computer.

In an effort to combat these malicious efforts, c-Systems Software wanted to share with you a few routine maintenance procedures.

  1. Update your Operating System
Malicious developers relentlessly search for vulnerabilities within software to exploit in order to steal data or render your computer useless.  It is imperative that you keep your Operating System (Windows) up-to-date.  By doing so, you are limiting any previously known attack/entry points into your system.  Once updated, make sure you have enabled Automatic Windows Updates to continue to limit these vulnerabilities.

  2. Obtain Anti-Virus and Anti-Malware software
Every computer on your network should have a copy of anti-virus and anti-malware software.  This provides preventive protection as well as the necessary tools to quarantine and/or remove an infection if one occurs on your computer.   C-Systems software recommends that users keep the Windows Defender software up-to-date to receive maximum protection.  Please check with c-Systems Support prior to installing any 3rd party software on your business system network to avoid software conflicts and potential issues.

  3. Backup, Backup, Backup!
One of the most important procedures you can make into a routine is the process of backing up your data.  Backup hard drives have become reasonable in price and with options ranging from 500MB’s to 5+ terabytes, you can be sure there is something that will house your data.  If you are looking for an off-site option, there is a multitude of cloud storage options available.  As an added layer of protection, c-Systems Software offers a fee-based automated daily backup service that provides peace of mind for our customers. To sign up or for more information, please contact Sales (800-334-3114) or Support (817-649-3100).

By having a backup of your data, you provide your insurance that your data will be available when you need it the most.  Nobody plans for hard drive failure, viruses, ransomware or other issues, so it pays to be prepared.

  4. Email Precautions
In many cases, malicious content originates from shared emails.  This is why it is advised to avoid opening suspicious emails or clicking links you don’t know.  If the sender is unknown or the subject line information does not make sense, it is possible that the email is SPAM or potentially malicious.  Also, avoid downloading attachments if you are not expecting one.  This is a good discussion to have with employees that have access to computers on your network.

While no plan is guaranteed, these steps will help avoid catastrophic data loss in the instance an issue is experienced.  By establishing preventative maintenance routines, backups and avoiding unknown files and emails you will be avoiding some of the more common causes of data loss.

Data Breaches and your Business Management System

It seems to be everywhere in the news today. Stories about credit card data theft, social security numbers stolen at multiple college campuses, and even Apple is admitting a breach that allows hackers to view emails and possibly even bank statements. Does the thought of having anything similar happen at your dealership put you on edge? It should.

Maybe you think going the paper route is safer in this age of having information available at all times. Have you considered how well protected all of that paper is in the instance of a break-in? Who has access to those documents? Are you properly handling the disposal of sensitive applications and customer information? So far, forty-six states have passed data breach notification laws, do you have a way of tracking information in the instance of a breach?

We all know technology moves fast and it may seem costly to keep up. If you compare the cost of occasionally upgrading your hardware and software to the fines and loss of business that come with a data breach, you may see it differently. On that note, are you aware Microsoft will end its support of Windows XP on April 8, 2014? That doesn't mean your computers running XP will stop working, but without support and product updates from Microsoft those machines will be highly susceptible to viruses and hackers.

There are many ways to protect your data from being accessed by unauthorized parties or becoming lost all together. Not only is a business management system like our Infinity product going to help you in the long run, but these tips will also help safeguard your sensitive data:

  • Keep only what information is necessary
  • Safeguard data in a secure location and restrict access to only employees who need it
  • Destroy all personal and confidential files before disposal
  • DO NOT use social security numbers as employee or client account numbers
  • Establish privacy and security policies and communicate it to all employees
  • Control computer usage by limiting employee access to business purposes only
  • Secure your computers with password protection and timeout functions
  • Keep security patches for your computers up to date and use firewall and anti-virus software
  • Mandate encryption of all data transmissions
  • Allow only encrypted data to be downloaded to portable storage devices

All of these tips plus your c-Systems business management software will reduce the risk of becoming a victim of data thieves.

What our customer's have to say about us:

"I like how Infinity fits our business and I feel that it was designed for what we do in our business, which is OPE.  I also liked that it was full of features and had in-house employee training as well.  Your system was designed with OPE in mind and wasn’t just a simple, generic solution for our company."

Phelp’s Outdoor Power Equipment, Fritz Holzer – General Manager

“If another dealer were to ask me about business management systems, I would absolutely recommend c-Systems.  I’d tell them, ‘Buy it.  It’s money well spent.’  Actually we’ve already promoted c-Systems and helped someone buy your system.”

Burleson Outdoor Power Equipment, Wayne Shamblin – Owner

"Ten years ago, my accountant unexpectedly passed away on Memorial Day weekend.  He was a main user of the system at our business and I felt lost without him.  But for two weeks straight after the incident, I received outstanding help from your support.  They helped me complete all of my daily tasks and answered any questions I had.  I felt that they were very understanding and patient, as well as knowledgeable and nice. c-Systems support is Bar-None the best support I’ve seen."

Chad Little Outdoor Power Equipment, Bruce Weeks

"Not having a separate accounting software and business system has helped a lot and made it easier to manage my business.  Having my system all in one place has helped with entry errors, managing my wholegoods, and overall has made my life a lot easier.

The Automated Warranty Claims feature saves a lot of time and keeps us from having to enter the information twice.  Learning about new lines coming out for this feature is great to hear and makes me excited!

I love the Product Registrations feature."

Bossier Power Equipment, Charlie Williamson – Owner

"I did research before I started looking for a new business system partner, and saw that most of the best dealers in the country, were using c-Systems Infinity.  After talking to a lot of them, I knew that for me to grow my business to another level, I would need a system and partner like c-Systems."

Clay’s Power Equipment, Jerry Clay – Owner
